Collection and Use
We collect contact details and information you provide when enquiring, subscribing, contributing content or expressing interest in an activity. We use that information to respond and administer the relevant request. Required form fields are identified at collection. Formal membership may involve additional information, which will be explained separately when requested.
Form Receipts and Spam Protection
Enquiries and newsletter subscriptions are recorded separately with a receipt number, receiving time and recruitment source. Contact fields and consent choices are kept in a private receiving system and sent to the controlled notification inbox. When enabled, Cloudflare Turnstile verifies submissions. Network addresses are transformed into keyed hashes for short-term rate limiting; verification tokens are not retained with contact records. The local test version uses a private test inbox and local verification instead of live email or Cloudflare.
Sharing and Publication
Authorised personnel and service providers may process information as needed to handle the stated purpose. We will seek permission before publishing a profile or sharing enquiry information for an introduction. Information may also be disclosed where required by law. We do not sell personal data or provide it to third parties for their own direct marketing.
Email Updates
With your optional consent, we use your email address to send Association news, technical publications, event invitations and membership information. You may withdraw this consent at any time, free of charge, through the unsubscribe link or [email protected]. Declining updates does not affect the handling of an enquiry.
Retention, Security and Correction
We retain information only for as long as necessary for the stated purpose and applicable record-keeping requirements. We take reasonably practicable steps to protect it and restrict access to those who need it. Please contact us if your information changes, or to request access to or correction of your personal data. Requests will be handled in accordance with the Personal Data (Privacy) Ordinance.
